Job Description :

Role & responsibilities

  • Greet patients, collect necessary information (such as insurance details and personal information), and manage the check-in process. Schedule appointments and manage appointment calendars.
  • Ensure patient records are accurate and up-to-date. Handle patient forms, consent documents, and medical history updates.
  • Manage incoming calls and emails. Provide information to patients regarding appointments, clinic policies, services offered, and general inquiries. Route calls to appropriate staff or departments.
  • Verify patient insurance coverage, collect co-payments or payments, and explain billing processes. Assist patients with insurance-related inquiries and provide basic billing support.
  • Assist patients with inquiries, requests, and concerns. Provide information on clinic procedures, services, and directions. Ensure patients are comfortable while waiting and manage patient flow.
  • Schedule follow-up appointments and send appointment reminders to patients via phone, email, or text message. Coordinate with medical staff to ensure appointment availability and smooth scheduling.
  • Maintain organized electronic and paper medical records. Ensure records are filed correctly and accessible when needed. Retrieve and update records as requested by medical staff.
  • Assist with administrative tasks such as filing, faxing, scanning, and photocopying documents. Help maintain a clean and organized reception area.
  • Handle emergency situations calmly and efficiently. Coordinate emergency responses with medical staff and direct patients accordingly.
  • Manage multiple tasks simultaneously, such as handling patient inquiries while managing appointments and administrative duties. Prioritize tasks based on urgency and importance.
